The short version
Who we are
DwellSpace, Inc. ("DwellSpace," "we," "us") is a Delaware corporation operating out of Bozeman, Montana. We build management software for RV parks, campgrounds, and manufactured-home communities. When you sign up for an account at app.dwellspace.com/signup, or use a park website we host, we act as either a data controller (for account-level information) or a data processor (for guest records our customers upload to the platform).
What we collect
From you, the park operator
- Name, email, phone, role, and the park(s) you manage — so we can create your account.
- Billing information — processed by Stripe. We never see your full card number.
- IP address, browser, and approximate location — for security logs and fraud prevention.
- Messages you send us — support tickets, sales calls, feedback forms.
From your guests
When guests book a site, check in, or message you through DwellSpace, we store whatever your park collects on your behalf: name, contact info, rig details, stay dates, payment receipts, and any notes your staff adds. This data belongs to you. We process it to run the software. We do not market to your guests, ever.
Automatically
- Standard server logs (requests, timestamps, status codes), retained 30 days.
- Product analytics (which features get used), pseudonymous and aggregated.
- Crash reports from your browser when something goes wrong.
How we use it
- Provide, operate, and improve the DwellSpace product.
- Send you operational emails (receipts, password resets, downtime notices).
- Send occasional product updates — you can opt out of these without losing the operational ones.
- Respond to your support requests.
- Detect abuse, fraud, and security threats.
- Comply with legal obligations (tax records, subpoenas, etc.).
We do not sell your data. We do not trade it. We do not use guest records to train machine-learning models we then sell to third parties.
Who we share it with
A short list of vendors ("sub-processors") that help us run the product:
- Amazon Web Services — hosting (us-east-2, us-west-2).
- Stripe — payment processing for your DwellSpace subscription.
- Twilio / SendGrid — SMS and email delivery.
- Cloudflare — DNS, CDN, and DDoS protection.
- Linear / Zendesk — internal support and bug tracking.
The full, current list with DPAs lives at dwellspace.com/subprocessors. We'll notify you 30 days before adding a new one.
Google account data
If you connect a Google account (Gmail) to DwellSpace, we access your Google data only to power the in-app inbox you explicitly enable. With your authorization we request the following scopes:
- See your email messages and settings (
gmail.readonly) — to display your inbox conversations inside DwellSpace. - Send email on your behalf (
gmail.send) — to send the replies and new emails you compose in DwellSpace. - Read, compose, send, and permanently modify mail (
gmail.modify) — used narrowly to mark messages read and star/unstar them when you act on them in DwellSpace. We never delete your mail or modify labels.
DwellSpace's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Concretely, this means:
- We use Google user data only to provide and improve the connected-inbox feature you enabled.
- We do not transfer Google user data to third parties except as needed to provide that feature, for security purposes, or to comply with applicable law.
- We do not use Google user data for advertising, and we do not sell it.
- We do not allow humans to read your Google data unless you give explicit consent for specific messages, it is necessary for security or to comply with law, or the data is aggregated and anonymized for internal operations.
You can disconnect a Google account at any time from your DwellSpace settings, which revokes our access token, or revoke access directly from your Google Account permissions page. Google tokens are encrypted at rest.
How long we keep it
- Active account data: as long as you have a subscription.
- After cancellation: we keep your data for 90 days so you can come back without losing anything, then we delete it. You can request earlier deletion at any time.
- Financial records we're required to keep by law: up to 7 years, in cold storage.
- Backups: rolling 30-day window; data in backups is deleted when the window rotates past.
Your rights
Depending on where you live (GDPR in the EU/UK, CCPA in California, PIPEDA in Canada, and others), you have some or all of the following rights:
- Access — a copy of what we have about you.
- Correction — fix anything that's wrong.
- Deletion — have us remove your data (subject to legal retention).
- Portability — get your data in a machine-readable format (we export CSV and JSON).
- Objection — tell us to stop using your data for specific purposes.
Email privacy@dwellspace.com with your request. We respond within 10 business days.
Security
All data is encrypted in transit (TLS 1.3) and at rest (AES-256). We enforce 2FA on every employee account. Our staff only accesses customer data when you grant support access or when investigating a security incident. We run a SOC 2 Type II audit annually; the latest report is available under NDA.
If we ever suffer a breach that affects you, we notify you within 72 hours of confirmation, with what happened, what was affected, and what we're doing about it.
Children
DwellSpace is not intended for anyone under 16. If a park operator collects guest information that includes a minor (e.g., names on a family reservation), we treat that data with the same safeguards but rely on the operator to have a lawful basis for collecting it. We do not market to minors, and we don't knowingly process data from anyone under 13 without a parent's consent.
International transfers
Our servers are in the United States. If you're in the EU, UK, or Switzerland, we rely on Standard Contractual Clauses and the EU-US Data Privacy Framework for lawful cross-border transfers. Contact us for a copy of the clauses.
Changes to this policy
When we change this policy in a way that affects you, we'll email you at least 14 days before the change takes effect, and post a notice in the app. Non-material changes (typos, clarifications) may happen silently — but the "Last updated" date above always reflects the latest revision.
